Employers Responsibilities - Staff Driving for Work - HR and WHS Tips

We all drive for work purposes, but, did you know that motor vehicle crashes are one of the leading cause of work-related deaths?

Safe Work Australia’s work-related fatality and injury data states that 36% of all incidents were vehicle related.

Contributing factors include difficulty responding appropriately to traffic hazards due to fatigue and distractions.

It should be noted that commuting to work is not generally classified as driving for work, except where the person’s journey starts from their home and they are travelling to a work location that is not their normal place of work.

What are the Employers Responsibilities when staff drive for work?

Ensure workers assigned to drive have a valid driver’s license. Where driving is an essential part of the employees role, ISOsafe suggest, undertaking regular RTA Driving Record checks.

Establish a company Drug and Alcohol Policy. Administer the policy by conducting random drug and alcohol testing of staff.

Where company vehicles are provided, ensure the vehicle has a roadworthy certificate and up to date servicing, registration, insurance and supplies for emergencies, such as, breakdowns and first aid. We also recommend implementing a company Motor Vehicle Policy.

If an employee regularly drives their private vehicle for work purposes, ensure they receive an allowance or payment for distances driven. You may want to check the ATO and Fair Work websites for more information on this topic. We suggest including provisions for employees to maintain their vehicles in a roadworthy condition, as part of their employment arrangement.

Ensure employees know the protocol in the event of a motor vehicle accident, breakdown or other unforeseen event.

For long trips always ensure a Journey Plan has been formally established with the worker to help manage their fatigue.
